Overview of the role
As a Coordinator on WestJet’s Events & Activations team, you’ll help bring the WestJettter Experience and brand to life through engaging, well-executed events and experiences.
This is a hands-on growth opportunity for an organized, energetic and collaborative events professional who enjoys working behind the scenes to make things happen. You’ll support the planning and delivery of internal and external events, media and stakeholder engagements, community activities and corporate events, working closely with communications, public relations, marketing and business partners across WestJet.
From coordinating event logistics and vendors to managing assets, communications and on-site details, you’ll play an important role in ensuring every event runs smoothly and reflects the WestJet experience.
As you grow in the role, you’ll have opportunities to take on greater ownership of events and projects, build your event expertise, and expand your experience across the broader Communications team.
Key deliverables / responsibilities include:
Support Event Leads in the planning, coordination, research, logistics, and execution of internal and external events.
Manage executive scheduling and calendar coordination for the Events & Activations team.
Coordinate event-related communications, promotional materials, and branded assets in partnership with internal stakeholders.
Provide on-site event support, including venue set-up, registration, guest management, issue resolution, and event tear-down.
Oversee the Events & Activations storage room and studio, including the management of event assets, video equipment requests, and studio bookings.
Manage the Events & Activations shared inbox, ensuring timely responses, effective triage, and follow-up on incoming requests.
Support inventory management, asset tracking, and the organization of event materials to ensure operational readiness.
Experience and qualifications:
Post-secondary education in Communications, Public Relations, Event Management, Marketing, Business or a related field is preferred.
2+ years of experience coordinating events, meetings, conferences, corporate functions or related activities.
Experience coordinating multiple activities, timelines and stakeholders in a fast-paced environment.
Strong organizational and project coordination skills, with exceptional attention to detail.
Excellent written and verbal communication skills.
Ability to build positive working relationships with internal stakeholders, vendors, agencies and external partners.
Strong time management skills and the ability to manage competing priorities and changing requirements.
Comfortable working independently while knowing when to seek guidance or escalate issues.
Strong problem-solving skills and the ability to remain calm and solutions-focused when event plans change.
Proficiency with Microsoft Office and common event coordination and collaboration tools.
Willingness to work occasional evenings, weekends and outside regular business hours when required to support events.
Ability and willingness to travel occasionally for events, as required.
A genuine interest in communications, public relations, events and creating memorable experiences.
A growth mindset and eagerness to develop broader communications and public relations expertise.
