Role Introduction

Reports to: Head of Aviation Medicine

As part of the Group Medical Department (GMD), the Aviation Medicine Team (AvMed) covers all aviation industry medical matters. The AvMed team is now going through a digital transformation to move from a paper-based operating model to a secure digital medical record and case management platform.

In this role as the Project Executive, you will support the transformation project by migrating legacy medical records from scanning physical file scanning to quality control on scanned files.

You will gain hands-on exposure to be part of a major digital transformation from data migration, vendor coordination to system implementation, while contributing to a future-ready model for AvMed.

Key Responsibilities

  • Coordinate and support the end-to-end delivery of a major medical records digitalisation project, ensuring milestones and timelines are achieved.
  • Organise project meetings, workshops and stakeholder communications, including agendas, documentation, action tracking and follow-up.
  • Maintain project governance records, including status reports, issue logs, decision registers and project documentation.
  • Liaise with internal stakeholders, IT teams and external vendors to ensure smooth project execution and timely completion of activities.
  • Manage the preparation, tracking and control of physical medical records for digitisation, ensuring accuracy, security and confidentiality.
  • Conduct quality checks on digitised medical records and coordinate the resolution of data, classification and migration issues.
  • Apply medical terminology knowledge to identify, review and classify a wide range of clinical and regulatory documents.
  • Support document management processes, including vendor coordination, record handling, procurement administration and invoice tracking.
  • Assist with system testing, data migration activities and user acceptance testing to ensure digital records are fit for purpose.
  • Contribute to continuous improvement initiatives by developing procedures, training materials and recommendations to enhance record management and user experience.

Requirements

  • Diploma or above in Health Sciences, Nursing, Healthcare Administration, Medical Records Management, Life Sciences, Business Administration, Information Management, or a related discipline.
  • Experience in project coordination, healthcare administration, records management, quality assurance, data migration, document control, or other detail-oriented operational environments.
  • Strong attention to detail with the ability to review and handle large volumes of information accurately and consistently.
  • High level of integrity and discretion when handling confidential medical and personal data.
  • Excellent organisational and time management skills, with the ability to manage multiple priorities and meet deadlines.
  • Strong communication and stakeholder management skills, with the ability to work effectively with internal teams, clinicians, vendors and project partners.
  • Excellent written and spoken English.
  • Experience in healthcare-related environments such as hospitals, clinics, occupational health services, laboratories, insurers or aviation medicine is an advantage.
  • Familiarity with medical terminology and clinical document types, including medical reports, laboratory results and diagnostic investigations.
  • Experience supporting digital transformation, electronic records, document management systems, data quality assurance, user acceptance testing (UAT), or healthcare technology projects is highly desirable.
